     Dependency & Neglect (D&N) Volunteer Coordinator

POSITION TITLE/STATUS:
            Dependency & Neglect (D&N) Volunteer Coordinator
Full-Time, 30 hrs./wk., Non-Exempt
 
II.        REPORTING RELATIONSHIP:
            Reports to D&N Program Manager
 
III.       SUMMARY OF RESPONSIBILITIES:
Actively support the D&N Program with all aspects of volunteer management to include screening, onboarding, training, recognition, retention, and data management. Plan and coordinate the initial D&N volunteer core training series as well as the in-service training sessions to assist volunteers in meeting continuing education requirements.
 
IV.       QUALIFICATIONS:
A. High school graduate required
B.  Experience working with volunteers or similar experience required
C.  Knowledge of human services and/or court system operations helpful
D. Computer skills to include Microsoft Office, spreadsheets, email, and database entry
E.  Must be available for flexible day/evening/weekend work hours
F.   Reliable transportation required

VI.       GENERAL PERFORMANCE STANDARDS
Although each employee is expected to meet the requirements of their job description, employees of CASA are also expected to maintain high standards of productivity, cooperation, attendance, efficiency, and economy in their work.  Work habits, behavior, attendance, performance results, productivity, policy adherence, or any other relevant factors of an employee must be maintained at appropriate standards.  All employees are responsible for promoting CASA in the community when appropriate to increase awareness, recruit volunteers, and gain additional financial support. All CASA employees must complete 12 hours of continuing education annually per National CASA Standards.
 
VII.     PHYSICAL REQUIREMENTS AND FREQUENCY:
A. Requires the use of office equipment, such as computers, telephones, copy machines, scanners, etc.
B.  Requires corrected vision/hearing to typical range
C.  Requires eye-hand coordination and manual dexterity
D. Requires prolonged standing and/or sitting
E.  Requires repetitive lifting, squatting, pushing and pulling objects like tables and chairs
 
VIII.    CRITICAL TIMES OF PRESSURE:
A. Completion of projects in a timely manner
B.  Weekend/evening commitments when necessary
C.  Pre-service training series
 
IX.       ESSENTIAL JOB FUNCTIONS:
A.  Responsible for coordinating pre-service and in-service training for volunteers including, but not limited to, the following:
a)   Planning and coordinating the initial D&N pre-service training series and Swearing In Ceremonies in conjunction with the D&N Program Manager and Volunteer Recruitment Manager to include adding dates to all relevant calendars.
b)   Creating printable pre-service training calendars.
c)   Assisting with evaluation of individual training sessions and overall training through participant and facilitator feedback.
d)   Supporting Core Trainer by co-facilitating one pre-service training session per series offered in the fiscal year.
e)   Scheduling and providing feedback during a mid-point check-in during each D&N core training series with D&N Trainer, D&N Program Manager, and Volunteer Recruitment Manager to assess trainees, discuss any concerns, and determine whether or not each trainee should continue moving forward in the training process.
f)    Preparing pre-service and in-service training materials to include:
§  Ensuring assembly of training materials and handouts
§  Editing and modifying copies of local program handouts as needed
§  Creating sign-in sheets
g)   Preparing materials and training room for use to include:
§  Room set up and snack preparation to include purchasing snacks
§  Name tents and markers
§  Set up of technical equipment (smart board, videos, keyboard, etc.)
h)      Coordinating co-facilitators for each training session and notifying the Core Trainer and D&N Program Manager
i)       Tracking make-up sessions of participants in conjunction with the Core Trainer and their designated schedule.
j)       Identifying appropriate Court Observation dates for new trainees and facilitating the process in conjunction with Peer Coordinators and D&N staff.
k)      Facilitating Swearing-In Ceremonies to include, but not limited to the following duties:
§  Confirming Swearing-In Ceremony dates can be facilitated by the Chief Judge (or proxy designated by the Chief Judge) in conjunction with the D&N Program Manager
§  Preparation of paper materials including program and poems
§  Preparation of name badges
§  Preparation of Certificates of Completion and ensuring they are signed by the Executive Director and Chief Judge (or proxy)
l)       Send monthly emails to Communications Manager and D&N team outlining upcoming D&N in-service training calendar, MFCF events, and Fund Development events to disperse to their caseloads/volunteers.
m)   Cross-referencing sign-in sheets and inputting volunteer in-service volunteer hours in Optima if participants have not already done so two weeks after the training session.
 
B.  Responsible for volunteer data management during the onboarding process including, but not limited to, the following:
a)   Completing and regularly updating volunteer electronic file audits to ensure all required documentation and/or onboarding requirements have been completed for each advocate prior to case assignment to include:
§  Background checks working in conjunction with the Program Director
§  Reference checks
§  Tracking and entering court observation dates in Optima
§  Tracking of Volunteer Considerations forms in preparation for Case Designation meetings in conjunction with the D&N Program Manager
§  Tracking that Sexual Abuse Awareness Training is completed by each participant in conjunction with the HR Manager
§  Entering training dates and training calendars into the Optima database
§  Other supporting documents per National CASA guidelines for local programs
 
C. Responsible for recruitment, retention and recognition efforts including, but not limited to, the following:
a)      Assisting in volunteer recruitment through screening and interviewing prospective volunteers by acting as a Lead Interviewer, specific to program needs. 
b)   Supporting regular recognition for volunteer birthdays, CASAversaries by sending out lists to D&N Staff and the Communications Manager to be added to The Gist at the beginning of the month.
c)   Regularly participating in the Recruitment, Recognition, and Retention (RRR) Meetings and providing support for the twice annual CASA-wide volunteer gatherings
 
D.  Is a team participant to include, but not limited to, the following:
a)   Assisting with special programs and projects as assigned.
b)   Providing back-up for D&N staff members if requested.
c)   Participating actively as a staff team member by supporting and collaborating with co-workers.
d)   Participating as a member of the D&N team in developing strategies, implementing plans, and evaluating efforts.
e)      Participating in various meetings and committees as required, to include, but not limited to, case designation meetings, D&N team meetings, staff meetings, and committee meetings related to strategic plans.
 
E.   Miscellaneous to include, but not limited to, the following:
a)   Representing and endorsing the program within the community of child welfare professionals and the local community at large.
b)   Accepting any other duties as assigned by the Executive Director, Director of Programs, and/or D&N Program Manager.
 
Salary Range - $29,708 - $35,882 (30 hours/week)
